How do I use a time card calculator to total payable hours?

A time card calculator turns clock-in and clock-out punches into payable hours. Write each punch as hours and minutes from midnight, subtract clock-in from clock-out, then subtract the break: 16h 48m - 8h 12m - 30m gives 8 Hours 6 Minutes. Add the days with plus signs and pick the Hour format for a decimal payroll total.

A punch time card gives you pairs of clock times, and payroll wants one number. The method is the same on every row: write each punch as hours and minutes counted from midnight, subtract the clock-in from the clock-out, then take off the unpaid break. That leaves one day's payable span, like 8h 6m. Add the spans with plus signs for the weekly total, and switch the result format to Hour when your payroll software wants decimal hours.

Step by step

  1. Turn each punch pair into a span

Write every punch as hours and minutes counted from midnight on a 24-hour clock, so an 8:12 clock-in is 8h 12m and a 4:48 p.m. clock-out is 16h 48m. Subtract the in from the out: 16h 48m - 8h 12m gives 8 Hours 36 Minutes for that row of the card.

  2. Subtract the breaks on the same line

Chain a minus for every unpaid break the card shows. A 30-minute lunch makes the line 16h 48m - 8h 12m - 30m, which returns 8 Hours 6 Minutes of payable time. Use - 1h for a full-hour break, and add more minus signs for a second break.

  3. Add the days into a weekly total

Join each day's payable span with plus signs: 8h 6m + 7h 51m + 8h 24m + 8h + 7h 57m totals 40 Hours 18 Minutes. Order does not matter, and an overtime week can carry a sixth or seventh span on the same line.

  4. Convert the total to decimal hours for payroll

Payroll software wants 40.3, not 40h 18m. Switch the result format to Hour and the same expression reads 40.3 Hours, because 18 minutes is 18 ÷ 60 = 0.3 of an hour. Nothing gets retyped; only the format changes.

Worked examples

16h 48m - 8h 12m - 30m=8 Hours 6 Minutes

One card row: an 8:12 clock-in, a 16:48 clock-out, and a 30-minute unpaid lunch.

12h - 8h + 17h 30m - 13h=8 Hours 30 Minutes

A split-shift card with two punch pairs, 8:00 to 12:00 and 13:00 to 17:30, on one line.

8h 6m + 7h 51m + 8h 24m + 8h + 7h 57m=40 Hours 18 Minutes

Five daily payable spans from the card summed into the weekly total.

8h 6m + 7h 51m + 8h 24m + 8h + 7h 57m=40.3 Hours

The same week as decimal hours, ready to type into payroll software.

Common questions

Can I type the punch times with a colon, like 8:12?

Not with a colon. Write each punch as hours and minutes counted from midnight, so 8:12 becomes 8h 12m and 4:48 p.m. becomes 16h 48m. Then subtract: 16h 48m - 8h 12m gives 8 Hours 36 Minutes, the span for that row of the card.

How do I subtract a 30-minute or one-hour lunch?

Chain another minus on the same line. 16h 48m - 8h 12m - 30m removes a half-hour lunch and returns 8 Hours 6 Minutes. Use - 1h for a full hour, and keep adding minus signs if the card shows more than one break.

How do I get decimal hours for payroll software?

Switch the result format to Hour. The weekly line 8h 6m + 7h 51m + 8h 24m + 8h + 7h 57m then reads 40.3 Hours instead of 40 Hours 18 Minutes, because 18 minutes is 18 ÷ 60 = 0.3 of an hour.

What about a shift that crosses midnight?

Add 24h to the clock-out, since it lands on the next day. A card showing 22:00 in and 6:30 out is 6h 30m + 24h - 22h, which gives 8 Hours 30 Minutes. Without the +24h the subtraction would go negative.

Payroll admins and hourly workers turn a week of punch-clock in and out times into one payable total without retyping the card into a spreadsheet.
